Reports To: Maintenance Manager
Department: Maintenance
Location: Cardiff
Contract: Full Time
Hours of work: Monday – Friday 8:30am – 5:00pm
Salary: Up to £30K DOE

THE JOB
As our Business continues to grow, we have an exciting opportunity for a Quotation Administrator to join an established Maintenance Team in Cardiff.
As Quotation Administrator, you will be the first point of contact for our clients, providing expert advice and managing sales from enquiry to delivery. You will work closely with clients, supply chain, merchants and internal teams to make sure all quote requests are processed and completed efficiently with a professional approach.
Experience in a similar role and detailed knowledge are essential for this role. We also have a strong reputation for developing people and offering career progression.
DUTIES & RESPONSIBILITIES
Handling inbound and outbound enquiries from contractors, clients, suppliers and colleagues. Providing advice and guidance where possible.
Prepare official and accurate quotes, compiling the information provided, and logging onto our internal systems.
Monitoring the status of submitted Quotes to keep up to date on our internal system.
Liaising directly with suppliers for ordering all required materials and parts.
Scheduling in the work clients aligning with engineer planners and delivery of required items.
Communicate often with clients to maintain confidence and provide updates.
Review engineer worksheets and quote remedial works as necessary.
Keep up to date with quotes log and associated work report documents.
Provide administrative support for the Maintenance Office Staff where necessary.
Assistance in busy periods by logging callouts and taking messages.
Monitor quotes once completed to ensure timings and materials have been adequately considered.
Take control of updating internal process for quote status information to enable invoicing.
Offer feedback and improvement suggestions to colleagues
Contribute to the overall success of the team..
Prioritize quotes in necessary order depending on urgency.
Any other administrative duties the Company may reasonably request.
WHAT WE ARE LOOKING FOR
Experience in similar role, communicating with clients and suppliers, ordering materials.
Broad technical knowledge in maintenance for understanding mechanical and electrical remedial work quotes.
Motivated individual that can work as part of a team and to their own initiative.
Ability to be proactive with tasks and duties.
Excellent customer service skills while dealing with clients. Sometimes in emergency situations.
Excellent telephone manner, with the ability to communicate clearly, effectively and maintain a high level of professionalism.
Strong communication and interpersonal skills, with the ability to explain technical information clearly.
Good knowledge of Microsoft systems to include Word, Excel, PowerPoint, Outlook and the Internet.
Committed to following procedures and ensuring tasks are fully completed.
Exceptional organisation skills, with the ability to prioritise to meet deadlines.
Able to work under pressure, individually and as part of a team with a flexible approach to meet the needs of the business.
DESIRABLE / BENEFICIAL
Industry Qualification (e.g. IWFM, RICS, NVQ)
Proven PPM Account Experience, ideally in a FM Provider Environment.
Experience in Facilities Management, Maintenance, Construction or a related industry.
