Job Title: Estates Assistant

Reports To: Estates Manager

Department: Maintenance

Location: Cardiff – Fairwater Community Campus Only

Contract: Full Time

Hours of work: 40 Hours Split Daytime Shifts on Rotation - (6:00am - 14:00pm / 10:00am -6:00pm / 11:30am 7:30pm)       

Salary: £28,000 - £30,000 per annum

THE JOB

As our Business continues to grow, we have an exciting opportunity for an Estates Assistant to join an established Maintenance Team in Cardiff on a new Flagship School Campus in Fairwater.

 

As Estates Assistant, you will be responsible for assisting the Estates Manager with management of the school site and associated facilities under an agreed system of supervision.

 

Experience in a similar role and detailed knowledge are essential for this role. We also have a strong reputation for developing people and offering career progression.

 

DUTIES & RESPONSIBILITIES


Operational

  • Manage the activities of external contractors on-site and monitor and report on associated budgets.

  • Contribute to the planning, development and monitoring of premises services.

  • Offer support to Estates Manager for daily tasks and operations.


Security

  • Lock / unlock school buildings and areas.

  • Undertake regular security checks and identify security risks.

  • Operate and respond to alarm systems where appropriate.

  • Monitor CCTV or surveillance equipment where appropriate in line with agreed policy.

  • Liaise with police, security and surveillance contractors.

  • Provide emergency access to the school site.


Resources

  • To assist with matters relating to energy control and conservation.

  • Be responsible for maintaining records, information and data, producing analysis and reports as required. Using computer aided facilities management software (CAFM).

  • Create and maintain a purposeful, orderly and productive working environment.

  • Ensure timely and accurate design, preparation and use of specialist equipment / resources / materials.

  • To be responsible for escorting monies to the bank.

  • Refill and replace consumables, e.g. soap and towels.

  • To be responsible for maintaining the school minibus.


Maintenance

  • Undertake appropriate repairs, e.g. redecorating and fixing.

  • To organise and carry out various maintenance duties to ensure that the general upkeep and maintenance of the premises is satisfactory, as per specific schedule for your school.

  • To organise and carry out minor improvement work, e.g. erecting shelves, notice boards, bookshelves etc. as agreed with the Headteacher

  • To assist with the operation of a preventative planned maintenance programme and for routine inspections of the buildings, fixtures, fittings, furniture, premises and grounds to assess for minor work or repairs require to be carried out to maintain safe and satisfactory conditions.

  • Operation and maintenance of heating plant and lighting systems.

  • To oversee and monitor the electrical testing of portable electrical appliances and to maintain the appropriate records.

  • Undertake regular site inspections.

  • Identify defects and record repair and maintenance requirements.

  • Collect and assemble waste for collection.

  • Undertake compliance testing such as fire alarm, sprinkler and legionella control

  • Monitor performance of contracts and record performance against specified standards.

  • Manage contractors.

  • Ensure that specialist sports equipment are maintained in accordance with specified standards, as applicable.

  • Ensure that satisfactory levels of caretaking, cleanliness and hygiene are achieved and maintained through the whole of the premises.

  • Ensure the pathways and all other external hard surface areas are kept clean, free of litter and that they are gritted or salted when required during wintry conditions.


Organisation & Supervisory / Managerial

  • Attend pre-contract meetings if the Estates Manager is unavailable.

  • Demonstrate and assist in the safe and effective use of specialist equipment / materials.

  • Provide specialist advice and guidance as required.

  • Porter duties, e.g. delivering mail, moving furniture and equipment.

  • Assist in the management, administration and operation of lettings system.

  • Monitor and manage stock within an agreed budget, cataloguing resources and undertaking audits as required.

  • Direct / supervise site staff and / or cleaning staff, where applicable. Ensure cleaning is in accordance with specification.

  • Where appropriate to organise and administer the use and maintenance of all school vehicles and to carry out driving duties when required by the Headteacher.

  • Liaison with the school meals service contractors in relation to their use of the site and provision of their service, where appropriate, in line with agreed SLA.

  • Maintain the site diary on a daily basis, where applicable.


Health and Safety Responsibilities

  • To assist with safety audits of the premises and assist with relevant risk assessments as required.

  • Promote and ensure the health and safety of pupils, staff and visitors at all times.

  • Ensure compliance by self and other with all health and safety policies and procedures. Take reasonable care for the health and safety of yourself and other persons who may be affected by your acts or omissions and to comply with all health and safety legislation as appropriate.

  • Promote and ensure the health and safety of pupils, staff and visitors (in accordance with appropriate health and safety legislation) at all times.

  • Review contractor RAMS to make sure they are acceptable and task specific, monitor works to ensure RAMS are being followed.


General Responsibilities

  • Be aware of and comply with policies and procedures relating to child protection, health, safety and security and confidentiality. Reporting all concerns to an appropriate person.

  • Contribute to the overall ethos / work / aims of the school.

  • Participate in training and other learning activities as required.

  • Recognise own strengths and areas of expertise and use these to advise and support others.

  • Assist in the supervision, training and development of staff.

  • Ensure safe use by self and others of equipment and materials.

  • Establish constructive relationships and communication with contractors and other agencies / professionals.

  • To be responsible, in conjunction with the Bursar / School Clerk, for the administration and control of appropriate areas of the budget.

  • Attend and participate in regular meetings.

  • Treat all users of the school with courtesy and consideration.

WHAT WE ARE LOOKING FOR


Education & Qualifications

  • Willingness to undertake induction training

  • Good numeracy / literacy skills / GCSE (or equivalent), Maths and English

  • Specific training in specialist area

  • Willingness to undertake training and development related to the post

  • NVQ OR equivalent qualification (Desirable)

 

Experience

  • Handyperson experience or similar

  • Caretaking / cleaning / site-keeping experience in a school or similar environment

  • Experience of H&S procedures, e.g. COSHH (Desirable)


Skills & Abilities

  • Good ICT skills and knowledge of other specialist equipment / resources

  • Working knowledge or relevant policies / codes of practice / legislation

  • Knowledge of Health & Safety procedures and precautions

  • Knowledge of COSHH regulations

  • Awareness of health and hygiene procedures

  • Team-leading skills

  • Basic painting and decorating skills (Desirable)

  • Basic carpentry skills (Desirable)

 

Personal Attributes

  • Ability to self-evaluate learning needs and actively seek learning opportunities

  • Ability to relate well to children and adults

 

Special Circumstances

  • An enhanced Criminal Records Bureau (DBS) Check will be required if offered this post

  • ISA Registration is required prior to commencing the post
